Australia

  • Full time

About the role

See yourself in our team

The Chief Data Office and Risk & Finance Technology team is responsible for driving the Group's data and technology priorities across risk, finance and enterprise data capabilities. The team delivers strategic initiatives that strengthen our data foundations, support regulatory and business outcomes, and enable the organisation to make better decisions through data.

We're looking for an experienced Executive Assistant to support two General Managers within this dynamic and fast-paced environment. You'll be a trusted partner, helping leaders maximise their effectiveness through exceptional coordination, organisation, stakeholder management and executive support.

Do work that matters

In this varied and fast-paced role, you will work closely with the General Managers to manage competing priorities, coordinate key activities and ensure their time and attention are focused where they can have the greatest impact.

You will take ownership of tasks, anticipate requirements and follow through on commitments on behalf of the executives. You will also build strong relationships across the broader team and with key stakeholders, business partners and the Executive Assistant community.

Your responsibilities will include

  • Providing proactive, efficient and high-quality executive support to two General Managers
  • Managing complex diaries, resolving scheduling conflicts and ensuring executive time is aligned with key priorities
  • Monitoring and managing inboxes, prioritising correspondence and assisting with responses
  • Coordinating meetings, leadership forums, events, offsites, conferences and team activities
  • Preparing and distributing agendas, meeting papers, presentations, pre-reading materials, minutes and action items
  • Reviewing meeting materials to identify matters requiring executive attention, decisions or follow-up
  • Tracking actions and following up with owners to support timely completion
  • Attending selected leadership meetings and events as required
  • Coordinating travel, appointments and associated arrangements
  • Establishing strong and trusted working relationships with business partners, Executive Assistants and stakeholders across the organisation
  • Supporting recruitment and onboarding activities
  • Assisting with reporting, budget coordination and other operational activities
  • Providing broader administrative support to the leadership team when required.

We’re interested in hearing from people who have

  • Demonstrated experience supporting senior leaders in a complex and fast-paced environment
  • A proactive and solutions-focused approach, with the ability to anticipate needs and take ownership
  • Exceptional organisational skills and attention to detail
  • Strong judgement, discretion and the ability to handle sensitive information appropriately
  • The ability to manage multiple priorities, work effectively under pressure and adapt to changing requirements
  • Excellent written and verbal communication skills
  • Strong stakeholder management skills and the ability to build trusted relationships at all levels
  • Advanced proficiency across the Microsoft Office suite
  • A collaborative mindset and a genuine commitment to providing outstanding support
  • The confidence to work independently while contributing positively to a broader Executive Assistant and leadership community.

This is an exciting opportunity to work at the centre of a dynamic leadership team, contribute to meaningful priorities and help two senior executives and their teams perform at their best.
